We are looking for a full-time staff to:
1) manage overall back office activities
2) deliver customer service to potential and current customers (mainly players’ parents), clients
(international schools, sponsors, etc.), and other collaborators (suppliers, etc.) to build relationships with them.
3) support marketing activities.
- Reporting line:
Direct report: Solid line to General Director, dotted line to the Advisor of Back Office.
- Responsibilities:
- Overall management (50%):
- Manage the overall Academy’s operation, including but not limited to: customer
service, sales, partnership, marketing.
- Students’ management: record and follow with students list, monthly tuition fee
calculation and collection, prepare invoice and send to parents.
- Manage players’ uniforms: storage, delivery, order.
- Explore new opportunity to open new training location (contact and book with
pitch owner, recruit students, arrange open day…).
- b) Manage Customer Service Serve as the back-up point of contact for customers, delivering guidance on the Academy’s
policy and operation (via different channels such as direct, Facebook, Instagram, Email,
Hotline, Zalo etc.).
- Provide consultation to new parents on the Academy’s training methodology, training
schedule, location etc.
- Update to Manager the expected number of students at least 12 hours before each
training/match.
- Ensure smooth communications with General Director and Head Coach, coaches, parents,
students, partners, suppliers.
- Prepare documents when requested.
- c) Support Marketing activities:
- Provide ideas and input into the development of new e-marketing materials.
- Coordinating Academy’s events: parents meeting, exhibition, open day, league, matches
etc.
- Take photo/video of the players/coaches on the pitch for marketing purpose
- d) Other ad hoc tasks relating to customer matters as assigned by line manager.
- e) Response timeline requirement to managers, customers and clients: within 0.5 hours
during office hours (9AM – 6PM) and weekend shift.

Yêu cầu công việc
- Effective communication skills in English and Vietnamese, both written and spoken.
- Written/spoken Japanese an asset but not a must.
- Experience in managing schools/ academy or similar project is preferred.
- Adaptable individual who is good at developing and maintaining positive working relationships.
