(During probation: HR & Admin Specialist
Upon confirmation: HR & Admin Manager – title change only, with no change in compensation or employment conditions)
Location: Hanoi
Reporting Line: Directly to General Director
About the Role
We have newly established the position of HR & Admin Specialist in our Hanoi office to strengthen internal management, compliance, and operational structure.
This is a hands-on role with high autonomy and responsibility, requiring the candidate to build, organize, and improve HR & administrative systems from the ground up, while directly supporting the General Director in daily operations and internal coordination.
Key Responsibilities
1. HR & Admin Operations
- Manage HR operations including labor contracts, social insurance, attendance, and employee records
- Oversee administrative operations such as company calendar, document control, contract management, and office administration
- Coordinate and improve existing administrative workflows with internal stakeholders
2. Internal Management & Process Development
- Organize and standardize HR & Admin processes across departments
- Establish structured management tools (contract tracking, document control, company seal management, etc.)
- Develop internal administration guidelines and manuals
3. Compliance & System Management
- Ensure compliance with Vietnamese labor law and internal regulations
- Review and optimize the use of HR system (BaseHR)
- Manage HR data, including contracts, payroll-related information, PIT, and social insurance
4. General Director Support & Coordination
- Support the General Director in organizing internal operations and management tasks
- Coordinate cross-functional communication with Finance, Sales, and Admin teams
- Structure and follow up on internal requests and priorities
5. Project Management (During Probation)
- Coordinate office relocation project (mid-April 2026)
- Organize and execute company kickoff meeting (late April 2026)
- Manage multiple tasks simultaneously and ensure project timelines
Probation Period (2 Months)
Month 1:
– Review and organize current HR & Admin operations
– Assess HR system usage (BaseHR)
– Deliver:
- HR Status Summary
- Admin Process List
- Responsibility Mapping
- BaseHR Usage Summary
Month 2:
– Improve and standardize systems
– Organize employee master data
– Develop administrative control framework
– Deliver:
- HR/Admin Improvement Proposal
- Administration Manual
- Completion of office relocation
- Execution of kickoff meeting
Key Working Principles
- Report directly to the General Director with close working interaction
- Work independently and take ownership of tasks
- Clarify and structure information before escalation
- Priorities will be guided by the General Director
Quyền lợi được hưởng
- Bonus: 13th-month salary and based on business results
- Insurance: Social insurance as per Vietnam Labor Law.
- Work Environment: Professional Japanese corporate environment.
- Working Hours: Monday to Friday, 8:00–17:00
Yêu cầu công việc
– University degree
– Minimum 3 years of HR/Admin experience
– Strong knowledge of Vietnamese labor law and practical HR operations
– Experience in supervising junior staff
– English: Business level proficiency
– Experience in foreign-invested companies is preferred
