A. ORGANIZATION MANAGEMENT
1. Understand the business plan
– Understand the corporate identity, 5-year business plan, and business plan of the period exactly.
– Adjust the priority of the tasks related to Back Office Division between requests from CEO and personal proposal
2. Track and analyze KPIs
– Define the suitable KPIs of Back Office Division to achieve the business plan of each period
– Track the results of KPIs each month. If the result is not good, analyze the causes and find the improvement.
3. Manage members
– Define the team structure required for Back Office Division and make the recruitment plan
– Hire suitable members of the Back Office Division.
– Review the performance of these members and give them feedback on their improvement
– Make the training plan and execute
4. Manage the budget and expenses of Back Office Division
B. HUMAN RESOURCE MANAGEMENT
1. Recruitment and Selection
– Set up and improve the recruitment policy/process, advise the Manager on candidate selection; Implement and analyze exit-interviews, and suggest changes
2. C&B and performance management
– Develop and monitor overall HR strategies, systems, tactics and procedures across the organization
– Research, develop and implement HR assessment periodically according to the evaluation regulations
– Manage C&B process (Salary, Insurance, PIT…), bonus, welfare policies… to ensure payment accurately and timely
– Manage HR documentation in organized and comply with the regulation and Law
3. Learning and development
– Evaluate individual and organizational development needs
– Drive L&D plan which includes but not limited to orientation; profession/soft skill and others necessary training in line with the company’s strategic development
– Monitor the success of development plans and collaborate with managers to develop their team through their career path
4. Company culture
– Work with BOD in defining and building Mission, Vision, Core Value of the Company
– Manage internal communication and build corporate culture
– Drive with planning, coordinating and executing employee activities and events, including but not limited to Kickoff meetings; monthly/quarterly staff meetings, – Company’s birthday party…etc.
5. Employee relation
– Bridge management and employee relations by addressing demands, grievances or other issues
– Advise BOD on dealing with conflict and grievance resolution.
C. ADMINISTRATION MANAGEMENT
– Monitor security and hygiene of the working environment
– Making contracts office vendors, service providers and office lease …, monthly fee calculation & confirmation and supervise inventory management and the fee payment
– Office related: Build related processes, regulations regarding to office management;
– Logistic related: Rental car/Air ticket/Hotel bookings/ (if any); Sending documents…
– New grant, extension of work permit and temporary residence card for foreign members
– Internal communication regarding important information & meetings scheduling; support company event’s organization
D. ACCOUNTING MANAGEMENT (Work with accounting firm)
– Cash Flow/Balance management
– Account Payable management: Input & store invoices/receipts into system/Remittance making/Check the balance of invoices and actual payments…
– Account Receivable management: Prepare payment documents/Input to system, Issue VAT invoices
– Coordinate with accounting firm to make monthly financial statement as well as Tax declaration/Submit Tax declarations
– Reports: Manage monthly cost & sales report/cash flow report to PL of projects

Yêu cầu công việc
– Must have Japanese certificate (JLPT level N2 & N1 only)
– Minimum 3 years of experience in a similar position in company size from 100-300 Employee, preference is given to candidates who have experience in Japanese companies
– Proactive, positive attitude, creative thinking, good problem solving skills, willing to learn, adapt and operate with a dynamic and fast moving working environment.
